Questions on RPG gaming for 2010

I didn't attend spocon last year but I have some big plans for running games at this year's spocon.

Unfortunately I also need some information to help in my planning. But, with me in the middle of planning my August convention events... Spocon, GenCon, and Dragonflight) I really need to talk with the Gaming Chair/RPG coordinator.

My most pressing questions are:
- What are the hours for organized gaming
- Will there be time slots, just plan what you want, or some other scheduling system
- What is the planned table layout. I have some medical needs that require a little consideration at where I'm placed, also table size etc.
- How are events submitted
- Is there a discount rate for GM's like there was in 2008?

Hi Al,

I can maybe help with some of the scheduling questions.

I'm working on an event submission system for the site. It's coming along nicely and should be ready for testing by the end of the month and hopefully up on the site by late May. Basically, you will be able to submit an event with the following fields:

  • Title
  • Description
  • Max Participants
  • Notes to Administration (where you would put needs)
  • Potential Times
  • Tracks

I'm sure if you'd like to get a jump on it, you could mail the gaming head, Chad Davis.

As for timing, I'm not sure anything official has been decided. Currently, in my scheduling system it presents a list of "time blocks" and you check which ones will work for you. Then the administrator assigns a time when the event is confirmed.

Personally, I'm advocating for a loose time-slot system, at least for the games. I hate it when one thing I want to attend starts half an hour before another event I want to attend ends. Something like 9-1, 1-5, and 5-9. However, the scheduling system will be flexible enough to allow events of any length and time.

If I may suggest on the time blocks, I've found over the years (last 10) that Dragonflight's System works very well. 2hr blocks with a 1/2 hr break between... meaning anything running two consecutive blocks is scheduled to be 4 1/2 hrs long (great for RPGs and larger board games). A HUGE benefit is GM's automatically get that 1/2 hr to tear down one game and get to the next one for set up (as well as giving players the chance to do the same). It really sucks when you have to cut your "4-hr" session 15 mins short so you can tear-down and set-up.
