I am getting a number of inquiries regarding hotel rooms / housing space. We are 120 days out... anyone?

I know there are negations and what not, but I've been trying to get a fairly large group to attend and I'm losing them quickly. Promo material is hard to provide if you can't provide housing for out of towners.

Where do we stand on the Red Lion?

If we don't have something officially set up with the Red Lion River Inn yet, things are going to be getting *very*... ugly... quite quickly.

The Pros will be calling in (at least I hope they will) to be making thier reservations. If the hotel doesn't know anything about SpoCon, we could be in for a world of hurt...

No Pros at SpoCon would be a *bad* thing...

Do we have a list of our Pro's? I know we have our Guests listed on site, can we do the same for our Pro's, or am I just not finding it?

Replies are starting to come in. I'm hoping to see the flood-gates open up in the next couple of weeks. Smiling

The letters have all gone out, though, so it's just a matter of them taking the time to respond.

Hence, the comments about the hotel... if they contact the hotel for reservations (usually the very first thing I do, before I try to register for a convention), and they get a "Spo-who?" response from the hotel, we probably won't get any further response. They'll just figure we don't have our act together and will wander off to other things....

Thank you muchly -- I'm off to start recruiting groups again.

-- Should ConCom request an apt? Or should we ensure members are taken care of first?

At MisCon I had two people say that they would be happy to reserve housing at the University if they could be assured ground floor housing that's ready to go with the beds at floor height.

edit to add: just looked at the Hotel page, looks like they're out of luck on their requests. I'm hesitant to turn them down straight out, as they're both folks we'd like to keep around.

Unfortunetly we can't change the beds or their set-up. I hope that they would be willing to go to the hotel with the SpoCon rate.

If they were going to get a $100 apt then the beds could be moved (inside of that one apt)so both lowers were in one room. If they can get 2 others to chip in and share then we would only have to worry about a ground apt.

The people requesting this are ones that will talk to alot of people and what they have to say about us will have an impact for good or ill. Why can't we make sure they get ground floor? I understand we cant change beds if they are set up as a bunk, but the ones we had in the apartments could be changed easily and I will have the time and tools to do it. We need to be able to honor these kinds of requests if we are going to make a go of it at GU.

I agree with Edgar -- it would be a very minor adjustment to take care of those needing a ground floor apt. A few hours of time (Edgar, I'll help you make the necessary changes before and after) is well worth it.

Is it okay I add a note to the housing page that we will do our best to meet needs such as a ground floor apt? The rest we can 'just do' Eye

I think the issue is resolved there. If we have staff that are willing to go and make changes before and after, then I think we're good to go. Let's move forward with that! Smiling

I took the initiative and updated the housing page with the following text:

"If you require a ground floor room, PLEASE LET US KNOW. We will also do our best to accommodate any needs as far as the beds go."

I wanted to let our members and dealers know we are here for them and to also be 'vague' to a point Smiling
