Volunteer Rates

At the last ConCom meeting I was able to attend, we had decided that volunteer rates were going to be the cheapest price offered, $15. How will that work with the registration system? Will there be a code they can put in that will knock the price down to the volunteer price or has that been discussed/decided?

There are a couple of ways to handle it.

1 - The person bringing in the specific volunteers can collect the funds and then turn them over with the appropriate list of people. RadCon does this, but I'm not too keen on it.

2 - They can pay when then pick up they check in with registration. There should be lists of names and what not.

3 - We can set up specific coupon codes that can be given out, like "LANPC2009" for example, and that would set the rate if they wish to prepay.

Option 2 or 3 would be the way to go, with #3 being the best option at the coupon could be set for "X" memberships.

Actually it was a set dollar amount. We have now set our policy to be the lowest offered pre-reg rate for that years Con. So, in this case, we were offering $15 2009 regs at the end of 2008's con.

This way, if we need to up the amount, we won't have the stink of "but but but" from the tightwads. We don't publish and amount, but tie it to an amount -- more flexibility that way. So if we chose to have the 2010 pre-reg at $20 at the end of 2009's Con then that will be the volunteer rate for 2010. Smiling Pretty simple, and will work well.

Can we have Reg Peeps (or Con Chair)chime in on the mechanics of last year and this year?

Do our volunteers pay the $15 when they register or do they receive reinbursement?

I know that we had volunteer pay the $15 last year ....
I don't know on the other?

Last yr for volunteer rates were all over the board. Some people were told(& pd)$20, others were told $15, then $10, & some even got in free! Also for a select few it was $12.50. It was very confusing, so I'm glad that we have set one amount for all volunteers.

Volunteers will pay $15 at registration. If they've paid full rate, they get our hearty thanks for the donation -- NO REFUNDS!!!

Last year we tried to get names of volunteers from department heads before the convention, with partial success.

If the registration system on the website will support the discount code, that would be the way to go, as long as the code doesn't escape into the wild and people start using it who aren't volunteers.

For volunteers who are identified at the event, Patrick suggested that we have a form that would be filled out by the person they're volunteering for, that they'd have to bring to registration in order to receive the discount.

I've got a few volunteers who are asking about registration so we really need to nail this down asap. I'm telling them to hold off on registration until I reconfirm their help, times, etc. at the moment. They're not going to wait forever.

My vote is for option #3 or if we have a genuine concern about the coupon code escaping we could always require them to send in a check with a paper registration. That way their volunteer status could be verified.

Coupon codes can be set to expire after a number of uses. So if you have 5 volunteers, then the code you get will be good 5 times. If a 6th person tries to use it.. then it will not work. Email or PM Stan to get what you need with your number of people. Then, have then register! We prefer that they prepay.

I need approval to give volunteer rates to panelists who do a few panels.... ASAP.

Also, what is the group rate and what qualifies a person for it?

(A group does a panel, how do I break out that for volunteers, etc?)

The coupon system is up and running. If you have a group of people or volunteers who qualify for a discounted membership, e-mail or PM me, and I'll get you a coupon code. I'll need to know the number of people so I can set the use limit. The volunteer rate is set at $15. I'm not wholly sure what qualifies a group for a coupon. Anyone know the answer to that?

Well, we're also talking two things here though too. Stan is talking about a "volunteer rate" while I think you were talking about a "group rate" Chris. Smiling

Two different things, so I am sure the rate that Norma gave is good and the rate Stan gave is good.

Although, I think at this point we SHOULD raise our group rate to our earliest pre-reg rate of $25 now. Knowing they will save $10 a piece, they'll jump at that.

Well, I don't know if there is a determined amount of people through process. I think we want to avoid leaving the barn doors open and as such I think (15) people would be a good number to put out there for a group rate.

Unfortunately there is no way to determine until we have had an effect from leaving the barn doors open what would be taken advantage of and what would not. I think the lower the amount (for example $20) the higher volume of people required. For a $20 rate, perhaps we should have 20 people or more as an EXAMPLE.

We could also as I said above go with, as an EXAMPLE, (15) people for a $25 dollar rate.

The point to bear in mind everyone is keeping our budgets and costs in mind here. Making "fair" decisions doesn't always pay the bills, so just keep those ideas in mind when you consider and offer ideas. Smiling

Just as a note, the current group rate coupons give those members the $25 price and each of the current groups' coupons has a limit of 25 redemptions.

The excitement continues. For Uncles Norma and I gave them 2 receipt books with 50 each(only 10 more than we discussed and easier with tools available) and told them $20, last I knew for group rate. Limit one book for card gamers and one for board gamers. If anyone complains, tell them that is a benefit of being a high level sponsor.

Things get better slowly but surely, will have this totally down in a couple of years! Smiling
